They also provide Portfolio Management Services and international advisory mandates for various asset classes.
The customer tackled email and collaboration challenges with a digital transformation project. They aimed to enhance collaboration, eliminate barriers, streamline workflows, and reduce manual processes by implementing a centralized platform. The project also addressed manageability challenges by moving to a cloud-based platform.

Project – Digital Transformation
Challenges
The customer was using a competitor's solution for its email platform. However, this led to challenges in collaboration across different departments and locations, causing communication barriers and workflow inefficiencies. Sharing customer information within departments required manual processes, such as copying and pasting data, which was time-consuming. Additionally, the existence of multiple copies of files and email threads increased the risk of errors.
The manageability of on-premises servers was also a pain point for the customer, as it had to invest in hardware, backup, cybersecurity, and underlying operating system management. This led to a dependency on multiple vendors and OEMs to run the email platform.

The customer decided to modernize their email platform with Microsoft 365 to enter the modern world of productivity and collaboration while helping the IT team secure data, devices, and identity.
Noventiq worked closely with the customer to identify and define user workloads and helped them build an understanding of Microsoft 365 license options. We also structured the approach to migrate their user mailboxes and conducted training sessions during the onboarding process.
Migrating from a competitor solution to Microsoft 365 can be a complex and challenging process. However, with the help of Noventiq’s expertise, the migration process was smooth, seamless, and hassle-free.
This helped the customer improve user productivity, collaboration, and efficiency. It also reduced the need for multiple software platforms and applications, enhanced remote working capabilities, and thus ensured business continuity. Additionally, Microsoft 365 offered more advanced security features to protect their business from cyber threats and data breaches.
Noventiq Approach
Noventiq worked with the customer to understand the user workload and helped them understand the Microsoft 365 license profiling. Noventiq defined an approach with the customer for migrating the user mailboxes and conducting user onboarding sessions.
Noventiq’s approach was as follows:
Plan the migration: Defined the scope, timeline, and objectives of the migration. Identified the data to be migrated, such as email, contacts, calendars, and tasks, and assessed any dependencies or customizations that may need to be accounted for.
Set up Office 365 environment: Prepared the Microsoft 365 environment by creating user accounts, configuring security settings, and setting up mailboxes and other services as needed.
Configure coexistence: Configured coexistence and planned how the competitor’s solution and Office 365 would coexist during the migration period. This involved setting up directory synchronization, configuring email routing between the two systems, and defining how users would access their email during the migration.
Migrate email and other data: Migrated email and other data using a migration tool or service.
Test and validate: Verified that the migrated data was accurate and complete by testing it in a test environment.
Train users & Go-Live: Provided training and ongoing support to users to help them transition to Microsoft 365. This included training on the new interface, features, and workflows.

The customer and Noventiq will jointly work to increase the adoption of Microsoft 365 services, with a major focus on improving the security and compliance score.
Conduct User Training: It’s important to train users on the new features and capabilities of Microsoft 365 to maximize their productivity. We will ensure that the team knows how to access and use the new tools such as Teams, OneDrive, SharePoint, and other relevant applications.
Implement Security and Compliance Policies: We will review and update security and compliance policies according to the new Microsoft 365 environment. We will ensure that sensitive data is secured and that access to it is restricted based on roles and permissions.
Monitor and Manage Environment: We will monitor their Microsoft 365 environment to ensure it is running smoothly and will promptly address any issues that may arise. We will also proactively provide support to the team as needed.
Review & Optimize Licensing: We will continuously review and optimize their licensing model to ensure they have the correct licenses and features for their users.
