Background
One of the important areas of enhancing business process effectiveness is human resource management. At the time of the project launch at the Nissan Plant, the process of personnel assessment and obtaining a general report with the final assessments for each employee was carried out manually: an MS Excel file had to be filled out, aggregated and agreed with all participants, then printed out and signed, and then the data obtained analyzed. This process was too time- and energy-consuming for HR officers, managers, and employees. As a result, the management of the Nissan Plant decided to automate the existing process. Noventiq, with its extensive expertise in implementing solutions for business processes automation, was selected as a partner.
Solution
At the initial stage of the project, Noventiq experts conducted a thorough audit of the customer's existing assessment processes, created and approved design layouts and reporting forms, and then proceeded to develop an automation subsystem. Based on the audit conducted, Noventiq proposed a concept of the system that fully satisfied the customer's needs and was within the budget. The purpose of this subsystem is: improved quality and accessibility of the existing assessment process throughout the year for the company's employees; lower labor intensity and higher efficiency of assessment result processing; automatic tracking of the assessment form filling process after six and twelve months.
The support subsystem for the annual personnel assessment process was developed based on a portal solution powered by Microsoft SharePoint 2013, implemented with the participation of Noventiq earlier and located in the Noventiq cloud. Thanks to the successful integration of the subsystem into the existing solution, the processes remained user-friendly and did not require any accustomization, since the system was implemented as part of the portal already known to the users.
Results
As a result of the project's implementation, the client took full control over the annual personnel assessment process. The system created by Noventiq enabled the full automation of the entire three-stage process: assessment set-up at the beginning of the financial year, intermediate mid-year results, and final results at the end of the year. Full process automation made it possible to rule out any errors in the assessment and incorrect data entry by employees. At the same time, HR officers gained access to information collected in an automated mode and can obtain these data in the Excel format at any stage of the process, including remotely.
